Help with your seating plan

Choose the task you are working on. You can start with a few tables and guests, then add detail when you need it.

Start a plan

  1. Create a plan and give it an event name.
  2. Add a table, choose its shape and number of seats, then add your first guests.
  3. Place guests at tables. Add rooms, seating rules and other details when they become useful.

Manual planning is available within the free plan limits. The app explains paid access when you choose a paid tool.

Paste guests or import a CSV

  1. Open Guests and choose paste or CSV import.
  2. For a pasted list, put each person on a separate line. For a CSV, choose the column containing guest names.
  3. Check the preview before adding people. Two people with the same name can remain separate guests.

Use a UTF-8 CSV to preserve accents and other alphabets. Review names before importing.

Prepare the event

  1. Set an optional date when creating the event or later in Event details.
  2. On Android or iOS, enable reminders for this device if you want a reminder near the date when replies or seats are still missing.
  3. With Planner Plus, add caterers, speakers, singers and other service providers, including the contact and address details you need.

Reminders are optional. They use the latest saved plan and depend on device notification permission. They are not available in the web app.

Group families and import phone contacts

  1. In Guests, select people from your phone contacts, then review names and possible duplicates before adding them.
  2. Group family members into a household so you can see people who are already listed. Adult or child is optional and separate from meal preferences.
  3. With Planner Plus, collect food and drink preferences. Choose the catering summary when exporting; provider and catering details are included only when selected.

Two people with the same name stay separate unless you deliberately resolve the duplicate. Saved catering and provider details stay readable and exportable after paid access ends.

Collect guest replies with one QR code

  1. Save your plan to your verified account, open Invitations and activate sharing with Planner Plus. Export the QR image or copy its link.
  2. Guests choose their household from the names list and send a fresh reply without an account or code. Earlier answers stay private to you.
  3. Review each submitted update before accepting it into the plan. Check added names against existing family members. The full reply history stays in Invitations.
  4. Pause sharing whenever needed. Resuming uses the same QR code for this retained plan.

A shared link does not verify who submitted a reply. Review updates carefully. When sharing is unavailable, guests receive a neutral paused message without billing details.

Arrange tables and rooms

  1. Choose a table shape and seat count. Use a preset when adding several tables.
  2. Check the arrangement preview and any compatibility guidance before creating the tables.
  3. Use the room size and position controls for precise adjustments. Undo is available for plan changes.

A locked table protects its assignments and geometry. Check locks before changing a connected arrangement.

Import a floor plan

  1. Choose a PDF or image. If the PDF has several pages, review the suggested page or choose another.
  2. Choose Use image as reference to draw over it yourself without AI credits. Set the scale using a known distance; position and appearance are optional settings.
  3. For AI recognition, check the maximum charge before starting. Inspect the suggested tables and room elements.
  4. Review what will be added or replaced before applying the result. Reference images can be hidden or removed from the canvas, and you can undo these changes.

Recognition can miss details. Imported dimensions and positions need checking; a floor plan is not a certified measurement or venue-safety assessment.

Find seats for your guests

  1. Add your guests and enough seats, then record any important seating rules.
  2. Lock assignments you want to keep and request seating suggestions.
  3. Review who would move and any unresolved rules before applying. You can continue adjusting the plan manually.

Conflicting rules or too few seats may prevent a complete arrangement.

Use the AI Assistant

  1. Describe the result you want in ordinary language. You can also provide an image or voice input where the device supports it.
  2. Check the proposed maximum charge before sending a paid request.
  3. Review the suggested changes before applying them. If interrupted, return to the pending operation instead of starting the same request again.

An AI response can be incomplete or incorrect. A completed analysis may still have a charge when it produces no usable changes; the app discloses the charging conditions before you send it.

Print or export a plan

  1. Open Export and choose PDF/print or CSV.
  2. For print, choose a page size and preview the map and guest lists. Check names, page breaks and the map scale before sharing.
  3. For CSV, choose the details you need. Include guest notes only when the recipient needs them.

PDF preserves the page layout. CSV is for spreadsheet data, so its appearance depends on the spreadsheet app. Share only the guest information the recipient needs.

Save, sync or recover your work

  1. Local plans are saved on the current device or browser. Keep an export of important work.
  2. Use a verified account and active Planner Plus to upload plan changes and sync across devices.
  3. If paid access ends, you can still retrieve and delete retained account plans. Without owner login or sync activity, cloud copies become eligible for removal after 180 days; local plans are not automatically deleted. Read the sync status before replacing either version during a conflict.

Clearing app data or browser storage can remove local plans. Register before relying on an anonymous account for purchases or AI credits. Native offline paid access is time-limited; web paid access requires an online check.
